Can you upload a PDF bank statement to QuickBooks?

In QuickBooks Online, yes: its upload screen now reads PDF and image statements. QuickBooks Desktop’s bank import takes Web Connect (.qbo) files, so a PDF has to be converted first. Here’s what each one accepts, and when converting first is worth it either way.

QuickBooks Online: what its PDF upload takes

According to Intuit’s help page on uploading transactions:

  • Statements can be PDFs or images (JPG, PNG or HEIC), so a photo of a paper statement can go in too.
  • The statement has to be in English.
  • QuickBooks reads the transactions with AI, and some statements are reviewed by Intuit’s team.
  • You see what was read next to the statement, correct it, and then save the transactions to the account.

It’s the same screen as any other upload: Bank transactions, then Upload from file. The steps are in how to import bank statements into QuickBooks Online.

What we saw when we tried it

We uploaded a few made-up statements to a QuickBooks Online sandbox company in October 2026. That’s a handful of files in one test, not a review, but two things stood out:

  • A checking statement with full dates (10/01/2026) came through with its account number, statement period and balances.
  • Statements that print dates without a year, as many banks and card issuers do (10/01, 02 Oct), came through with every date blank. Nothing could be saved until each date had been typed in, and QuickBooks offered to send the statement to its reviewers.

So look at the dates before anything else, especially on card statements and on statements that run over New Year.

When to convert the PDF first

Uploading the PDF straight to QuickBooks Online is the shortest route when it works. Converting it first is worth it when:

  • You use QuickBooks Desktop, which imports .qbo files rather than PDFs.
  • The statement prints dates without a year. A converter can take the year from the statement period, including for a December–January statement.
  • You want the rows checked against the statement’s printed balances before they reach your books, and any difference shown row by row.
  • You have a year of statements to catch up on and want each month checked the same way.
  • You’d rather the statement itself wasn’t uploaded anywhere: only the transactions go into QuickBooks.

BankToRows does this in your browser: drop the PDF on the PDF to QBO converter, check the balance result, fix anything that’s off, and download a .qbo file or the CSV layout QuickBooks Online reads. It reads text-based PDFs, the kind you download from online banking. It doesn’t read scans yet, so for a photo or a scan QuickBooks Online’s own upload is the one to try.

QuickBooks Desktop: import a .qbo file

  1. Convert the PDF statement to .qbo (Web Connect) with the PDF to QBO converter.
  2. In QuickBooks Desktop, choose File › Utilities › Import › Web Connect Files and pick the file.
  3. Choose the QuickBooks account the transactions go to, or create one, and let it finish.
  4. Review the transactions in Bank Feeds, then add or match each one.

QuickBooks Desktop checks the bank’s Intuit ID inside a .qbo file and may refuse one it doesn’t recognise. If that happens, open any .qbo file you’ve had from the same bank in a text editor, copy the number after <INTU.BID>, and enter it in the converter’s export settings before downloading.

For a statement in a currency other than your account’s, or with accented descriptions, see the problems we ran into in the QuickBooks Online import guide.

Questions

Does QuickBooks Desktop import PDF statements?

Its bank import, File › Utilities › Import › Web Connect Files, takes .qbo files. Convert the PDF to .qbo first, or to IIF if you import transactions that way.

Can QuickBooks Online read a scanned statement?

Intuit’s help page says it takes images (JPG, PNG, HEIC) as well as PDFs, so a scan can go in that way. BankToRows reads text-based PDFs only, the kind you download from online banking, so for a scan QuickBooks’ own upload is the route to try.

What about statements that aren’t in English?

Intuit’s help page says the statement upload is for statements in English. For other statements, convert the transactions to a CSV or .qbo file first.

Is it safe to upload a bank statement?

Uploading to QuickBooks puts the statement with your other accounting data at Intuit, and Intuit says some statements are reviewed by its team. If you’d rather the statement itself stayed with you, convert it in your browser and upload only the transactions.
